Why spreadsheets work for so long
A spreadsheet has no setup, no training and no subscription. It does exactly what you tell it. For a sole trader with a jobs list and a quote template, it is genuinely the best tool, and most businesses with staff are still running on the sheets they built when they were one person.
That is not a mistake. It is just a tool that was right for a business that no longer exists.
When they stop working
- Two people need the same sheet. One of them emails a copy. From that moment there are two truths.
- Someone needs to see part of it, not all of it. A sheet has no permissions, so the crew either sees the margins or sees nothing.
- A fact has to be in two sheets. A person's name is in the roster, the leave tracker and the payroll export. Change it once and it is wrong twice.
- The sheet has to notify someone. It cannot. A due date in a cell is not a reminder.
- Someone asks what happened. A sheet has no history. Who changed the quote, and when, is unknowable.
If three of those are true, you have crossed the line, and the hours you spend reconciling sheets are the cost.
The usual sheets, and what each one is hiding
| Sheet | What it is really | What it cannot do |
|---|---|---|
| Jobs list | A job management system with one user | Show the crew their jobs, track time against them, or update a margin |
| Roster tab | A scheduling system nobody else can open | Tell people their shifts, take availability, or become a timesheet |
| Leave tracker | An HR record with no approvals | Let someone request leave, or warn you it clashes with the roster |
| Quote template | A sales system with no pipeline | Become the job's budget, or be signed by the customer |
| Licences and expiries | A compliance register nobody reads | Remind anyone before the date passes |
What replaces them
Not a bigger spreadsheet, and not five apps. The test for the replacement is simple: can each fact be entered once, by the person who knows it, and seen by everyone who needs it and nobody who does not?
- The crew enters their own time when they clock in, against the job they are on.
- The customer signs the quote, and it becomes the job with a budget.
- Leave is requested by the person, approved by the manager, and reflected on the roster.
- Expiries remind someone before the date, not after.
- The office sees margins; the crew does not, because permissions are part of the system.
In RovrDS the base plan covers people, jobs and rosters for everyone, with a free Personal area for staff, and the add-ons cover sales, HR, documents and finance for the people who run them.
What to move first
- The people list. It is the one sheet every other sheet copies from. Load it once, with roles.
- The roster. Staff see their shifts on their phone, and clocking in creates the time card. Two sheets gone.
- New jobs. Start them in the system from a date. Let the old sheet finish what is in it.
- Quotes and invoices last, once the jobs they attach to are already there.
Keep the spreadsheets. Export to them whenever you like. They just stop being where the truth lives.
Questions people ask
Can I import my spreadsheets into RovrDS?
People, jobs and the current roster can be loaded from exported lists. The best approach is to load the people list, start new jobs in RovrDS from a chosen date, and let the old jobs sheet finish what is in it.
Will my staff need training?
Most staff only use the Personal area: clock in, see shifts, request leave, sign documents, log time to a job. It is one screen on their phone. Admins use the full web app, and the modules are set up one at a time.
What does it cost to replace a spreadsheet?
RovrDS is A$20 a seat a month with the first three seats free, including GST. A business of six where everyone just clocks in pays for three seats. Add-on modules like Finance or HR are only bought for the people who run them.
Can I still export to a spreadsheet?
Yes. Everything exports as CSV, Excel or PDF, so your accountant and your own habits are unaffected. The difference is the spreadsheet becomes an output, not the system.
